Terms of Use

By using Mia, you agree to follow these terms. If you don't agree, please don't use the service. These terms apply to everyone who uses Mia, whether you're an admin creating forms or a member filling them out.

If you're using Mia on behalf of a company or organization, you confirm you have permission to do so.

Mia helps teams and organizations send custom check-in forms to members, collect responses, and analyze the feedback with optional AI-powered insights.

How it works: Admins create form templates, invite members via email, send forms (one-off or recurring), review submissions, and access analytics. Members receive email invitations, fill out forms, and can view their own submission history.

The Service is intended for coaches, managers, team leads, and anyone managing team feedback. We reserve the right to modify or discontinue features with reasonable notice.

You'll create an account through our authentication system. If you're under 18, you need permission from a parent or guardian to use Mia. Admins inviting minors are responsible for ensuring appropriate consent is in place.

Keep your account secure. You're responsible for everything that happens under your account. Don't share your password. If someone else uses your account without permission, tell us immediately.

You can cancel your account anytime. When you do, you lose access to everything in that workspace.

If you're an admin: You must follow all laws when creating forms and collecting data. Get permission from members before collecting personal information. Don't create forms that discriminate, harass, or break the law. You're responsible for how you use the data you collect.

If you're a member: Answer forms honestly. Don't share sensitive information you're not comfortable with. Use the service only for its intended purpose.

Everyone: Don't use Mia for anything illegal, deceptive, or harmful. No spam, hacking, viruses, or abusive content.

You own your data. Any form templates, responses, or other content you create belongs to you. We only use it to run the service and make it better.

Admins own the responses they collect from members. Admins can use this data for their own purposes (like analysis and reporting) as long as they follow privacy laws.

We don't own your data. We don't sell it, analyze it, or use it for anything beyond running the service. Your data stays in your workspace unless you ask us to delete it.

Mia offers optional AI-powered analysis of form responses. When you use this feature, we send your data to OpenRouter, an AI provider.

Important: AI analysis can be wrong. Don't use it as the only basis for important decisions. You're responsible for double-checking AI insights and making your own judgment. The AI doesn't replace human oversight.

You own the insights generated by AI. We try to make sure your data isn't used to train AI models, but check OpenRouter's privacy policy for their practices.

Mia uses other services to operate, including:

• Clerk (for accounts)
• Resend (for emails)
• OpenRouter (for AI analysis)
• PostHog (for analytics)

These services have their own privacy policies and terms. We're not responsible for what they do. Your data may be shared with them to make the service work.

Mia is provided as-is. We try to keep it running smoothly, but we can't guarantee 100% uptime. The service may go down for maintenance or unexpected issues.

We don't guarantee: Email will always arrive on time, the service won't have bugs, or it will work on every device. You should back up important data outside the service.

You can cancel anytime through your account settings. You lose access immediately, but you may still owe payment for the current billing period.

We can terminate your account if you violate these terms, engage in illegal activity, don't pay, or if we think it's necessary to protect our service.

When your account closes, we'll delete your data within 30-90 days unless the law requires us to keep it. You can request faster deletion.

The service is provided as-is. We make no promises about how it will work or what it will do for you.

We're not liable for: Lost data, lost profits, business interruptions, or indirect damages, even if we knew these might happen.

Our total liability is limited to what you paid us in the last 12 months. If you haven't paid, it's capped at 100 euro.

If you're unhappy with the service, your only remedy is to stop using it.

These terms are governed by the laws of Ireland. Any disputes will be handled in Irish courts.

We may update these terms anytime. We'll notify you of major changes. If you keep using the service after we make changes, you agree to the new terms.
